New: Client Policy Management

  • Client and contact policy management has been overhauled to allow for targeted enforcement on certain actions and support a wider variety of policies and procedures.  
  • New policy rules are markdown enabled, allowing you to style your rules and emphasize important ares of the policy.
  • Policies are now located in the Policies tab, located on the Case, Client, Client Location, and Client Contact.
  • Previously, Trackops supported three policy blocks: Case Policies, Update Policies, and Invoice Policies. These policies now reside under the Create Case Policy, Create Update Policy, and Create Invoice Policy, respectively. These policies will appear when creating a new case, update, and invoice, but will not prompt you to acknowledge the policy.  
  • You can modify existing policies via the Client and/or Client Contact profile (Policies tab) to require policy acknowledgment where necessary, as well as relocate parts of your existing policies to other sections as necessary.
  • For backwards compatibility, a link to view case policies now exists where the policies were previously displayed on the Case Overview screen. 

Updated: Workflow Actions for Clients

  • Workflow Actions now support targeting a specific client.  This new feature makes it easier to create 1-off actions used for specific client handling.

New: Budget History Audit Report

  • A new report to track budget adjustments is now available.  This report will allow administrators to track budget adjustments for a period of time across all cases.

Updated: Trackops Video Version 1.5.4

  • A new version of the Trackops Video app has been released that increases performance and compatibility with newer operating systems.
  • The application now better supports bundle dates from all timezones.

Behavior Change: Case Update Recipients now Restricted by Access Group

  • A recent security enhancement has forced a change to the ability to send case updates to recipients that are not a part of the case update access group.  Previously, an update could be posted in "Group A" and be sent to a recipient who does not have access to view "Group A" (based on the access groups defined on their user role). This behavior has now been adjusted so that when sending a case updates, only recipients who have access to the case update's access group (as defined in their user role) will be eligible recipients.
  • This important change was made for two reasons:
    1. Most importantly, this change prevents the accidental sending of internal case updates to clients, and client-only case updates to investigators.
    2. When receiving a case update, if the user cannot view the update inside the system, any links to the update inside that email will result in an access denied message.
  • There are two ways to resolve this issue:
    1. If you want to allow the a certain type of user to view updates in a specific access group, you can adjust their user role to include the access group.  So for example, if you are sending a case update in "Group A", and you would like clients to view updates posted in "Group A", edit their user role (Settings > User Roles) and check the box next to the "Group A" access group.  Once saved, the client will now appear as an eligible recipient when sending a case update in the "Group A" access group.  Repeat this process for any other user roles you wish to configure.
    2. The other option is to simply change the access group on the case update before sending it.  If you would like to maintain your existing access groups configuration and allow a type of user to view a single case update, you can edit the case update and change the access group to one that the recipient can see.  Once the access group is changed, the available recipients will be updated to reflect the new access group when attempting to send it.

Updated: Trackops Privacy Policy

  • To maintain compliance with the US Data Privacy Protection Framework, the Trackops Privacy Policy has been updated to inform users that Trackops will never share their data with third parties without the opportunity to opt-out of sharing.  Trackops does not share data with third parties outside of the circumstances described in the Trackops Privacy Policy.  

Other Enhancements

  • Invoice item and Expense item names can now support more characters.
  • Searching by a complete case number will no longer return results for all instances of the case.  Instead, searching by a complete case number will only return results for the instance of that case.  If you need to search case numbers across all instances, simply use the series number (e.g. 12345) for the search.
  • When creating a new case, the system will now cross-reference claim numbers (reference value 1) against other cases by default.
  • Case status triggers will no longer be executed when blocking workflow items are outstanding.
