What's New in Trackops: November 2025

New: Case Status Categories

  • Trackops now offers the ability to categorize your case statuses into several pre-defined groups.  This new functionality offers simplified turnaround time tracking without changing the existing workflow for staff members.  Available case status categories are as follows:
    • New -  Newly received cases that require review before they are opened.
    • Open  - Cases that are actively being worked and/or deliverables are still outstanding.
    • Complete  - All investigative work is complete and delivered, but back office work may be required.
    • Closed  - The case is closed and no additional work is required.
  • There is a new permission for user roles that to view the case status on cases.  When enabled (default) the user will see the case status as per usual.  When disabled, the user will only see the case status category.  This permission offers the ability to simplify the status list for clients, vendors and other users who do not manage the case workflow directly.

New: Turnaround Reports (Reports tab)

  • The Case Turnaround Detail report offers a granular look at case status category transition times across cases.  This feature allows you to get a detailed look at how long it takes from cases to progress through each case status category. 
  • The Case Turnaround Distribution report provides a snapshot of average case status transition times across a variety of criteria.

New: AI Case Update Summary Instructions & Presets

  • It is now possible to optionally provide additional formatting instructions when generating AI Case Update Summaries.  Adding additional instructions allows for more control over the formatting and style of the output so you can more closely match the way the updates are generated and presented.
  • It is now possible to create AI Summary Presets for use with case update summary generation.

New: Case Update Reply Tracking

  • It is now possible to apply a "Pending Reply" status to case updates where a reply is expected. When sending a case update, select the "Mark as pending reply" option to apply the status to the update.
  • The Case Update Watcher dashboard widget now includes an action item for tracking stale updates that are "Pending Reply".  The number of days before an update becomes stale is configurable via the widget settings.
  • It is now possible to search the case update list by Status, including the Pending Reply status using the advanced search.
  • It is now possible to enable the Mark as pending reply option by default through the use of case update categories and selecting the option inside the category configuration.

New: Payment History for Expense Payment Slips

  • There is now a Payment History tab under Expenses to get a list of Payment Slip payments.  This new feature providers the ability to search for payment slips by payment amount, reference number (check number), etc...  
  • The ability to export expense slip payment history is now available on the Payment History tab.

Updated: Trackops Mobile App Version 1.12.13

  • Trackops mobile now supports dark mode.  To enable dark mode, click the More tab in the bottom right and change the Display Mode setting to dark or system.
  • Trackops mobile now supports the ability to upload files outside the camera roll. This means you can now more easily upload other types of files (i.e. PDF, Word Docs, etc...) directly from the mobile app.

Other Enhancements

  • It is now possible to pass an allow_duplicates parameter to the Create Client Contact API endpoint. Including this flag in requests will skip conflict checks and always create the new contact.
  • The Cases API endpoint now includes three new properties to reflect case status category transition timestamps: opened_at, completed_at, and closed_at.
  • The Case Status API endpoint now includes the a new property to indicate the case status category.
  • The Case Assignment Audit report now includes the option to filter by primary or non-primary assignments.  In addition, the primary designation is now in its own column for easier export digestion.
